POSITION SUMMARY

CollegeTracks seeks an energetic, passionate, and highly skilled individual to serve as our first in-house HR Manager.

Aligning with the organization’s commitment to diversity, equity and inclusion, the HR manager will have an opportunity to bring a strategic eye to human capital and operations and ensure that the day-to-day, hands-on HR and operations needs of the organization are met.  Like all staff of small nonprofits, you will need to be adaptable and eager to serve staff with excellence. Ideally, full-time but will also consider candidates in a part-time capacity, the HR Manager will report directly to the Chief Executive Officer (CEO) and work with all employees, accounting and external partners to perform their job responsibilities.

Key Responsibilities

The Human Resource Manager will be responsible for the overall administration, coordination, and evaluation of the Human Resources function including federal, state, and local compliance; policy and procedure development; full life-cycle of recruitment; benefits administration; employee relations; budget management; worker’s compensation; unemployment; internal investigations; monthly and annual reporting and employee records management.

The essential functions and responsibilities include, but are not limited to, the following:

  • Annually reviews and makes recommendations to executive management for improvement of policies, procedures, and practices on personnel matters
  • Maintains knowledge of industry trends and employment legislation and ensures compliance
  • Responsible for compliance with federal and state legislation pertaining to all personnel matters
  • Communicates changes in personnel policies and procedures and ensures proper compliance is followed
  • Assists management in the annual review, preparation and administration of wage and salary program
  • Develops and maintains annual human resources budget
  • Conducts recruitment efforts for all personnel, including writing and placing all job advertisements and representing the organization at job fairs
  • Ensures that each employee’s job performance is evaluated at specified times
  • Rewrites job descriptions as necessary
  • Conducts new-employee orientations; employee relations counseling and exit interviews
  • Ensures background checks are completed for all employees
  • Consults with legal counsel as appropriate, and/or as directed by the CEO on personnel matters
  • Works directly with department/program managers to assist them in carrying out their responsibilities on personnel matters
  • Manages all aspects of the organizations benefit programs, including processing new enrollments and changes; resolving administrative issues with all insurance carriers to include plan provisions and employee claims; and working with organization broker to introduce new benefit options to employees and negotiate contracts with vendors
  • Coordinates and manages the annual open enrollment period
  • Manages and tracks worker’s compensation and unemployment claims
  • Resolves payroll issues in coordination with the accounting department
  • Maintains employee records and ensures accuracy and integrity of the information and data
  • Provides monthly and annual reports on employment trends to the CEO
  • Recommends, evaluates, and participates in staff development
  • Develops and maintains a human resources system that meets personnel information needs
  • Participates on committees, and special projects and seeks additional responsibilities
  • Performs other incidental and related duties as required and assigned

Qualifications

  • Bachelor’s degree required, Master’s degree preferred or four to ten years related experience and/or training, or equivalent combination of education and experience
  • Minimum 5-7 years of progressively responsible generalist experience
  • Experience working in a non-profit organization
  • PHR or SPHR certification preferred
  • Knowledge and experience with federal, state and local employment laws

  • Proficient in Google, MS Office Suite and Quickbooks
  • Internet savvy and skilled with technology
