Program Coordinator: College Access Program

POSITION SUMMARY

CollegeTracks seeks an energetic, passionate, and highly skilled individual to serve as Program Coordinator for our college access programs at our MCPS High Schools. The majority of the Program Coordinator’s work will be performed at an assigned high school, with work performed at partner high school sites on an as needed basis.

The Program Coordinator will perform the day-to-day operations of CollegeTracks' College Access Program, which guides students and parents through the college search, application, standardized test preparation, financial aid, and transition to college processes. The Program Coordinator will report directly to their respective Program Director.

Each CollegeTracks Access team works collaboratively to guide students and families through the following eight (8) milestones:

  1. Plan Your Higher Education & Career Path
  2. Prepare for Standardized Tests
  3. Create Your Higher Education List
  4. Submit Your Applications
  5. Apply for Financial Aid
  6. Apply for Scholarships
  7. Decide Where to Attend
  8. Enroll

Key Responsibilities

Program Coordination

  • Provide comprehensive college and career advising to students and families, guiding them through the college admissions, financial aid, and enrollment processes in a fast-paced, mission-driven environment.
  • Recruit and enroll students into CollegeTracks, fostering sustained engagement and active participation.
  • Plan, coordinate, and facilitate workshops focused on key college access milestones, while monitoring student attendance, progress, and completion of critical benchmarks.
  • Leverage technology platforms, including Salesforce, Excel, and Google Workspace, to deliver high-quality individualized and group workshops with exceptional organization and attention to detail.
  • Coordinate student registration and preparation for standardized assessments, including the SAT, ACT, and Duolingo English Test.
  • Support the recruitment, training, supervision, and ongoing engagement of College Access volunteers.
  • Identify scholarship opportunities and assist students in successfully applying for local, regional, and national scholarships.
  • Maintain current knowledge of college admissions trends, financial aid policies, scholarship resources, and community-based programs that best serve CollegeTracks students.
  • Utilize social media and digital communication platforms to strengthen student outreach, engagement, and program participation.

Data Collection & Analysis

  • Maintain accurate and timely student records in Salesforce and related systems, ensuring comprehensive documentation of program activities, student interactions, and outcomes.
  • Analyze student and program data to inform advising strategies, identify areas of need, and support continuous program improvement.
  • Prepare and present regular reports on student progress and emerging concerns for leadership and team review.

Internal Program Collaboration

  • Build and sustain collaborative relationships with CollegeTracks staff, volunteers, and cross-functional teams.
  • Partner with College Access colleagues across sites to refine tools, share best practices, and develop innovative strategies to better serve students.
  • Collaborate closely with the College Success team to identify, recruit, and successfully transition graduating seniors into postsecondary persistence programming.

External Partner Collaboration

  • Represent CollegeTracks as an enthusiastic and professional ambassador to students, families, schools, community organizations, and higher education partners.
  • Support the development and maintenance of strong partnerships with school administrators, counselors, teachers, community organizations, and college personnel to expand opportunities and resources for students.

Qualifications

  • Bachelor's degree with coursework in education, counseling, social work, psychology or a related field
  • Prior work experience with students in high schools, college access, college admissions, higher education (certificate, 2-year, or 4-year programs), youth development, teaching and/or counseling, or college retention programs
  • Understands and values racial equality as an organizational operating principle and is committed to continued learning on issues related to race, equity, diversity, and inclusion
  • Working knowledge of college admissions, higher education (certificate, 2-year, or 4-year programs), college retention, and/or public school systems
  • Work experience in multicultural and multilingual student and family environments
  • Proven interpersonal and relationship-building skills
  • Proven problem-solving, decision-making, and program coordination skills
  • Must be extremely organized and detail-oriented
  • Bilingual or fluent in Spanish is highly preferred

The compensation for the Access Program Coordinator position is $57,000, and is non-negotiable.
